Nomination Process

Are you Eligible to Run?

In order to be eligible to be elected as a member of the Academic Board, an individual must:

  • be a member of one of the constituencies listed in the Election Guidelines as a member of the Teaching Staff, which constituency is currently represented by one or more member(s) of the Academic Board whose term(s) will expire on June 30, 2025.
  • remain a member of this same constituency from the close of the nomination period to the time when all relevant election-related appeals and recounts, if any, have been finally disposed of, or if there are no appeals or recounts, when winners have been declared elected;
  • be a member of a department or equivalent unit, which is not the same as the department of a current member of the Academic Board, whose term will not expire in 2025; and

  • remain a member of this same department or a department that will not already be represented on the Academic Board from the close of the nomination period to the time when all relevant election-related appeals and recounts, if any, have been finally disposed of, or if there are no appeals or recounts, when winners have been declared elected.

Do you know about the nomination form?

An individual seeking nomination must use and complete the appropriate official nomination form prescribed by the Office of the Governing Council.

  • It shall be the responsibility of the individual seeking nomination to ensure that the correct nomination form is used.
  • An individual seeking nomination must file a fully completed online nomination form and submit it to the Office of the Governing Council prior to the close of the nomination period.
  • The Chief Returning Officer (CRO) will obtain from the individual seeking nomination confirmation of the acceptance of the terms and conditions outlined in the Elections Guidelines. It is the responsibility of the individual seeking nomination to ensure that the nominators have completed the electronic form, as per the instructions contained in the electronic nomination form; and submitted before the closing date and time of the Call for Nominations.

You need Supporting Nominators

To become a candidate in the elections, a Teaching Staff seeking nomination must meet the following requirements with respect to nominators:

  • the individual seeking nomination may not nominate oneself;
  • the individual seeking nomination must have on their nomination form the support of 3 nominators, the full name of the nominator and the name of the department or office in which the nominator is employed; and
  • each nominator of a Teaching Staff nominee or a Librarian nominee, as the case may be, must be a member of the constituency in which the nominee is seeking nomination.

It is the responsibility of the individual seeking nomination to ensure that the nominators have completed the electronic form, as per the instructions contained in the electronic nomination form; and submitted before the closing date and time of the Call for Nominations.

Once you have successfully submitted your nomination form, you will be sent an e-mail containing instructions to forward particular information to your supporting nominators. Please read that e-mail carefully as a failure to secure the appropriate number of supporting nominations, you will be ineligible to run in the election.

You will be verified

The eligibility of a Teaching Staff nominee will be assessed by:

  • determining whether the nominee is a member of the Teaching Staff of the same constituency as one of the current members of the Academic Board whose term(s) will expire on June 30, 2025;
  • determining whether the nominee is from a department or equivalent unit that is not already represented in the Academic Board;
  • cross-referencing the nominee’s information as it appears on the nominee’s nomination form with the records of the Human Resources Information Systems and staff records in the Federated Universities to determine whether the nominee is eligible for election in the constituency in which the individual seeks nomination; and
  • reviewing the nominee’s nomination form to assess whether:
    • the correct nomination form has been used;
    • the nomination form has been completed correctly;
    • the nomination form contains the required number of valid nominators; and
    • the nominee’s signature is present on the nomination form, signifying the nominee’s consent to stand for election.

The validity of each nominator for Teaching Staff nominees will be assessed by comparing the nominator’s full name and the nominator’s department or office of employment, as indicated on the nomination form, against records of the Human Resources Information Systems and staff records in the Federated Universities to determine whether the nominator is eligible to nominate Teaching Staff or Librarians in the nominee’s constituency; and cross-referencing all nomination forms received to determine whether a nominator nominated more individuals than there are vacancies on the Academic Board to be filled by Teaching Staff  of the nominator’s constituency.

Fix your errors

Errors or irregularities on the nomination form may be corrected prior to the close of the nomination period. The CRO, may, but is not required to notify nominees of the existence of any errors or irregularities before the close of the nomination period. Take care in completing your nomination form and, while the Office of the Governing Council endeavors to follow up on errors, we may not always be able to do so!

Your Candidacy announced

Once any appeals have been addressed (see the Elections Guidelines for more information), your candidacy will be announced on the date and time indicated in the important dates for 2025.
