HOLIDAY CLOSURE - SERVICE IMPACT
The Office of Convocation will be closed for the Seasonal Holidays from December 24, 2024 to January 6, 2025. The last day to order a Diploma Delivery before this closure is December 17, 2024 at 11:59 p.m.
The service will resume in January 2025.
There are two ways to obtain your diploma: order delivery via courier or pick up in person from our office. Please see below for more information on both services.
Diploma delivery
Diplomas are delivered via courier. Shipping requests are made by submitting a completed Diploma Delivery Request Form.
DELIVERY FEE
- $55.00 CAD within Canada and the USA
- $70.00 CAD to international destinations
Diplomas are generally shipped weekly, but there are some exceptions. Please allow 1-3 weeks for your order to be processed. Missing or incorrect information will cause delays in both processing and shipping so please follow the instructions carefully.
IMPORTANT SHIPPING DETAILS (please read carefully)
- The address on your form must match at least one address in ACORN.
- Courier services will not deliver to P.O. Boxes. Please include a full street name and number.
- All diplomas that are couriered will require a signature by the receiving party.
- Please provide an address where your diploma can be received during business hours (9am-5pm, Monday-Friday), to avoid delay and returned diplomas.
- If undeliverable, the Courier Depot will hold the package for 5 days before returning it to our Office. It will then be subject to further payment for re-delivery.
- Delivery fees are non-refundable. Please carefully consider your options for obtaining your diploma before placing your order.
The Office of Convocation will hold your diploma for one year following the date of Convocation.
Diploma pickup
Please allow one (1) business day, following the last day of your Convocation period, to pass before coming to the Office of Convocation to pick up your diploma. Be sure to bring your University of Toronto TCard or valid government-issued photo identification (please note that we cannot accept an Ontario Health Card as photo identification) with you.
- If you are graduating in March 2024, diplomas available for collection as of March 15.
- If you are graduating in Spring 2024, diplomas available for collection as of June 25.
- If you are graduating in Fall 2024, diplomas available for collection as of November 5.
We are by appointment only, but offer walk-in service immediately following the convocation ceremonies for those graduates. See details here.
Following the walk-in grace period, graduates can book an appointment to pick-up their diplomas in-person for free.
If you are unable to pick up your diploma yourself, you may send someone to pick it up for you. Please read the FAQ below for requirements and more details.
The Office of Convocation will hold your diploma for one year following the date of Convocation.
GRADUATES PRIOR TO 2023
The Office of Convocation will hold diplomas for one calendar year from the date of your Convocation. Diplomas not claimed after one calendar year are destroyed for reasons of security and storage.

I AM coming to pickup my diploma in person, what documents should I bring?
If you are picking up your diploma at the Office of Convocation in-person, please make sure to bring your TCard or a piece of government issued ID. Copies or photos of your ID are not permitted. Please note that we cannot accept an Ontario Health Card as photo identification.
can I send someone to pick up my diploma on my behalf?
If you are unable to pick up your diploma yourself, you can send someone to pick it up for you.
To do so, complete and sign the Fillable Diploma Pickup Letter of Authorization form.
Make sure to include your name, student #, degree earned, your signature, the date, and the name of the person being authorized to pick up your diploma. Upon arrival, they will be asked to produce valid photo identification (please note that we cannot accept an Ontario Health Card as photo identification).
An original copy of the diploma pickup letter of authorization must accompany the person designated to pick up your diploma. Please note that emailed or otherwise electronically signed or sent copies will not be accepted. Your original signature (in ink) must appear on this form.
What do I do if I have a valid postal code, but I know that some couriers (FedEx, DHL, Purolator) don’t recognize it?
Some postal codes for international destinations, even if they are valid, are not recognized by global courier services. If you know this to be the case with your address, please contact the Office of Convocation to confirm which courier is being used. You can then contact the local office of the courier (FedEx, DHL, etc.) who should be able to advise on how to format your address to ensure successful shipping.
What can I do if my package is being delivered to the wrong address?
We cannot change the delivery address after an order has been shipped. If the shipping address on your order is incorrect, we work directly with our shippers to try to resolve address issues. We cannot be held responsible for any delays, fees, or other delivery issues if you've made an error in the shipping information. If such an error causes an order to be rejected, lost or destroyed, we cannot issue a refund. If the error causes the order to be sent back to us, you will be responsible for return shipping fees.
What should I do if my package tracking states “delivered”, but I never received it?
There are several actions you can take if the tracking status of the courier is showing that the package has been delivered, but you have not yet received it.
- Check who signed for the package on the tracking page. All our diplomas require signature upon receipt.
- If you live in a condo building, check with the concierge and/or the mail room.
- If you live in a house, check the area around the house (e.g. patio, deck, backdoor, etc).
If you are still unable to locate the package, contact the Office of Convocation.
What happens if my package is lost during shipping?
Although it is rare for orders to get lost or delayed, please be aware that it can happen. In the event your package has not been delivered within 14 days of the initial shipping date (as outlined in the automated email from the courier), contact our office. Depending on your location, and any history of similar problems, we’ll work to help resolve this issue.
I Placed an order for diploma delivery. When can I expect it to be sent out?
On average, diplomas are shipped by courier every 1 to 2 weeks for those who's convocation ceremonies have already occurred.
If your ceremony has not taken place, your diploma will only be shipped once all of the ceremonies have concluded for that session. The earliest your diploma will be sent out will correspond with the first day of diploma pickup for that session. See the above Diploma Pickup section for these dates.
If your form was submitted with missing or incomplete information (for example, address not matching ACORN) this will cause delays in both processing and shipping that are beyond our control. Carefully review all steps on the form and ensure your address matches any address in ACORN before submitting your order.
