Graduation Checklist FALL 2024

Check your name as it appears in ACORN

When:

Before the September 27, 2024 name change deadline date. 

How:

Select the Graduation & Convocation tab on ACORN and review your "name on diploma." If required, request name changes/corrections/accents.

Why:

Name changes requested after the September 27 name change deadline will be subject to a diploma replacement fee.

If you are not attending your ceremony RSVP "not attending"

When:

Between October 2 - October 14, 2024.

How:

Select the Graduation & Convocation tab on ACORN

Why:

See question 11 of our Frequently Asked Questions to review information on how obtain your diploma after the conclusion of ceremonies.

IMPORTANT TIP:

For best results in ACORN, you should be using Google Chrome as your browser.

If you are attending your ceremony know your ceremony date and time

When:

As soon as it becomes available on the Office of Convocation website.

How:

Find your ceremony date and time on our website.

Why:

You may only attend the ceremony at which your degree is being conferred. You may not attend alternate or future ceremonies.

If you are attending your ceremony rent, or purchase, academic regalia

When:

Between October 2 (10 AM) and October 14 (11:59 PM).

How:

Online through our supplier Harcourts

Note: the link will be active starting October 2

Why:

The gown rental ID (Order Number provided by Harcourts) is required to process your RSVP and guest ticket order in ACORN.

If you are attending your ceremony RSVP and order your guest tickets (maximum of two)

When:

Between October 2 (10 AM) and October 14 (11:59 PM)

How:

Order tickets by selecting the Graduation & Convocation tab on ACORN. Please note that gown rental ID is required to process your order.

Why:

An RSVP is mandatory to attend convocation. Please note that guest tickets cannot be guaranteed if you miss the RSVP deadline.

Graduating students do not require a ticket to attend their ceremony.

Please Note - gown rentals and guest tickets are NOT allotted on a first come, first served basis. Everyone who requests tickets during the RSVP period will receive tickets and regalia.

Notify our office if you have a guest(s) requiring an accommodation such as accessibility seating

When:

Between October 2 (10 AM) and October 14 (11:59 PM)

How:

Indicate that you have a guest requiring an accessibility accommodation when you RSVP and order guest tickets in ACORN.

Why:

So that we may accommodate your guests and ensure their ability to attend your convocation ceremony.

Notify our office if you require an accessibility accommodation

When:

Between October 2 (10 AM) and October 14 (11:59 PM)

How:

Indicate that you require an accessibility accommodation when you RSVP and order guest tickets in ACORN.

Why:

So that we may ensure your ability to participate in your convocation ceremony.

IMPORTANT TIP:  If you know you require an accommodation that requires advance planning or reservations (for example, ASL interpreter), please contact our office as soon as possible - please don't wait for the RSVP to let us know!

If you are attending your ceremony complete your name recording

When:

Between October 2 (10 AM) and October 14 (11:59 PM)

How:

You will receive an email invitation from our partner Namecoach to voice-record your name and/or provide the phonetic pronunciation of your name. 

Why:

To help ensure that your name is pronounced correctly at the ceremony.

Download and print your guest tickets

When:

Guest tickets will be available for download on ACORN as of 12 PM on October 17.

How:

Select the Graduation & Convocation tab on ACORN.

Why:

Guests without tickets will not be admitted. Don't forget to give the tickets to your guests (you as the graduating student do not require a ticket).

Ensure that your guests have their tickets

When:

Guest tickets will be available for download on ACORN as of 12 PM on October 17.

How:

Select the Graduation & Convocation tab on ACORN.

Why:

Guests without tickets will not be admitted. Extra guests without tickets cannot be accommodated and there are no stand-by options.

Arrive at Gown Rental Pickup Location (Myhal CEIE)

When:

At least ninety minutes prior to start of the ceremony.

How:

With your Tcard or government-issued photo ID (if you do not have a Tcard)

Without personal items (purses, coats, cameras) as there is no secure storage space in the gown rental area.

Pick up location is the Myhal Centre for Engineering Innovation and Entrepreneurship (MY), 55 St. George Street, Main Lobby. 

Why:

To pick up your gown and hood.

Go to the marshalling rooms (Myhal CEIE) 

When:

One hour and fifteen minutes prior to start of the ceremony.

How:

Follow the signs posted.

Why:

To receive instructions from the Student Marshals and to be lined up to process into Convocation Hall 30 minutes before the ceremony begins.

Return your regalia following your convocation ceremony

When:

Shortly after the conclusion of your ceremony.

How:

In person at Myhal CEIE, 55 St. George Street. 

Why:

To avoid additional rental charges.

 
 
NOTE: To ensure your participation in the ceremony, please arrive by the times provided. Due to the complex arrangements involved in arranging a successful ceremony, if you arrive late there is no guarantee that you will be able to join the ceremony.
