Nomination Process

ARE YOU ELIGIBLE TO RUN?

In order to be eligible to be elected as an Administrative Staff or Librarian member of the UTSC Campus Council or their Standing Committees, an individual must

  1. meet the definition of an Administrative Staff or Librarian member (please refer to Section 1 of the Election Guidelines);
  2. be a member based on the respective campus where the individual is seeking election,
  3. be nominated by the Administrative Staff or Librarian of that campus, and
  4. remain an Administrative Staff or Librarian member of the respective campus from the close of the nomination period to the time when all relevant election-related appeals and recounts, if any, have been finally disposed of, or, if there are no appeals or recounts, when winners have been declared elected.

In addition, once elected, an Administrative Staff or Librarian member may only remain a member of the UTSC Campus Council or their Standing Committees so long as the individual is an Administrative Staff or Librarian member at the respective campus. The individual must resign if they cease to be a member at the campus from which they were elected.

If an individual is a member of more than one of the Administrative Staff, Librarian, Student, or Teaching Staff constituencies, the individual: (i) may run for election in only one constituency of the UTSC Campus Council or its Standing Committees; and (ii) must use the applicable nomination form for the constituency in which the individual is running.

DO YOU KNOW ABOUT THE NOMINATION FORM?

An individual seeking nomination must use and complete the appropriate official nomination form prescribed by the Office of the Governing Council.

  • It shall be the responsibility of the individual seeking nomination to ensure that the correct nomination form is used.
  • An individual seeking nomination must file a fully completed online nomination form and submit it to the Office of the Governing Council prior to the close of the nomination period.
  • The Chief Returning Officer (CRO) will obtain from the individual seeking nomination confirmation of the acceptance of the terms and conditions outlined in these Guidelines. It is the responsibility of the individual seeking nomination to ensure that the nominators have completed the electronic form, as per the instructions contained in the electronic nomination form; and submitted before the closing date and time of the Call for Nominations

YOU NEED SUPPORTING NOMINATORS

To become a candidate in the elections, a nominee must meet the following requirements with respect to nominators:

  • Once you have successfully submitted your nomination form, you will be sent an e-mail containing instructions to forward particular information to your supporting nominators. Please read that e-mail carefully as a failure to secure the appropriate number of supporting nominations, you will be ineligible to run in the election.
  • the individual seeking nomination as an administrative staff or librarian must have the support of 5 nominators; and
  • each nominator of a nominee must be a member of the constituency in which the nominee is seeking nomination.

It is the responsibility of the individual seeking nomination to ensure that the nominators have completed the electronic form, as per the instructions contained in the electronic nomination form; and submitted before the closing date and time of the Call for Nominations.

YOU WILL BE VERIFIED

The eligibility of a nominee will be assessed by:

  • cross-referencing the nominee’s information as it appears on the nominee’s nomination form with HRIS records to determine whether the nominee is eligible for election in the constituency in which the individual seeks nomination;
  • reviewing the nominee’s nomination form to assess whether:
    • the correct nomination form has been used;
    • the nomination form has been completed correctly;
    • the nomination form contains the required number of valid nominators; and
    • the nominee’s signature is present on the nomination form, signifying the nominee’s consent to stand for election.

FIX YOUR ERRORS

Errors or irregularities on the nomination form may be corrected prior to the close of the nomination period. The CRO, may, but is not required to notify nominees of the existence of any errors or irregularities before the close of the nomination period. Take care in completing your nomination form and, while the Office of the Governing Council endeavors to follow up on errors, we may not always be able to do so!
